    More macros in application confirmation emails [2090]

    It would be great to be able to put more thing in the email that are automatically send once a member joins such as address information, and any other items that might be on one's registration/application form.

    When we get a notice that someone registers it nice to have more information about them.

    Is this in any plan in the future?

    Thank you!

     P.S. It would also be great to know if they choose manuel or online payment in the email notice.Did I miss that?

    Current behavior:
    Customizable emails templates (such as renewal reminders, event confirmation etc.) currently can only included a limited number of predefined (system) fields

    Desired behavior:
    Ability to include custom (user-added) database fields in email templates

    We would like to be able to add the URL of the member in customizable emails since not every members are internet savvy; some of them don't even know they can have a URL for their public profile. We can send the URL to ask them if they need to update their info and they can send their URL to their potential clients.

    When setting up the database fields, I added "Additional member name" for couples who don't share a surname and "Salutation" to include use a nickname or multiple names instead of the one in the "First Name" field. When I went in to edit the e-mail templates, I discovered I couldn't use them! There are other custom fields we'd like to be able to include in e-mail templates, too, so I rate this pretty high.

    MACROS, MACROS, MACROS

    I'm an addict to MS Mail Merge.  What better way to take advantage of WildApricot's database than to put it in practice through MACROS within the WA operating environment.  

     Case in point: I want to email my members and tell them their current status and also their membership level and renewal amount.  With current WA macros, I can email them with their First and Last Names included.  However, I cannot also choose to add fields for status, level, and renewal amount in the body of the email.  If I could, imagine the time savings.  The only solution for now is to export all the data, use MS Word Mail Merge to create Outlook Emails, and thereby send emails that incorporate merged data from these named fields.  That process is too laborious.   

     Apparently, not many people feel my pain on this one - I asked the associate who answered my call directly.  He said that he has never heard this request made before.  

    BACK ME UP, EVERYONE!  Imagine if we could incorporate any of our fields into all the communication we send through WildApricot!  Some macros are working on event registration responses.  Let's make it uniform throughout or at least add fields to the email tool.   

     Please comment further to let the WA team know that this is important.

    I think that ALL database fields should be accessible by the email function.

     I want to create event confirmations that I send out in bulk a week before the event, but I want to put customized data in the email, like a confirmation code, or a custom "go to door X" where X is a field in the event registration, but changes by person, depending on various criteria.

    I'd like to see lots more available in the emails.

    I agree.  At the very least I would like to see {Member_Password} added to the Individual Member Activation email. 

    One of the problems I'm having is this... when you add a new member manually, they do not receive any emails saying they have been added as a new member.  I have, however, figured out a work-around.

    1.  Add new member with membership status of "Pending-New"
    2.  Publish
    3.  Edit
    4.  Switch membership status to "Active"
    5.  Publish

    When they are switched to active, this triggers the system to send the Member Activation Email.  This is great, but they have no way of knowing the password I've set them up with (I'm typically using something generic like "password").

    What I have been doing is right before I add a new member I will go to settings and change the Member Activiation Email to inlcude something like "Your temporary password is "password".  Please be sure to change this password as soon as possible".  Then I will add my new member.  Then I will go back to settings to take this language out because if I have someone apply online, I don't want them to get confused and think that their password is "password" when they chose something different when they applied!

     So if there is any way to make this process easier, I would appreciate it!!!  I think making the {Member_Password} macro available in all emails would be a huge step in the right direction.

    Sorry, we can not have {Member_Password} macro as we store passwords in encrypted way (so called one-way hash) - this is very important for security reasons, so that nobody (even on our team) can see member passwords.

    We will keep thinking how to address your needs on other ways though.

    I see these macros are available for a possible event e-mails customizition

    but I can't find where the source is taken and I am reluctant to make tests because I cannot make a fake event.

    It took me an hour to go through all of the membership levels' various emails to change the organization's telephone number. What a pain!!! More macros like {Organization Phone} (or whatever it is) would be extremely useful and expeditious!

    I totally understand your point.

    FYI - what we also have in out future plans is to re-do email customization - so that you could create a library of email templates and re-use them in different levels.

    For events with multiple races our running club needs to be able to add the race name to the event confirmation (registration confirmation) emails.  Currently the pre-defined macros do not solve this problem.  We would like to be able to add any database field, either system or user generated, to any email message.

     This will be very important to us for a number of our events.

    We have enabled macros for any custom field in emails in our release 3.2 on October 1st, 2009
