    Tracking failed email deliveries (bounces) [1427]

    Problem

    • When email blasts are sent, some emails fail to deliver, e.g. wrong email address, user does not exist, etc.
    • Currently a email bounce reports are sent to the site admin as a file attachment. This means that  the admin has to manually open those attachments, find the corresponding contact and decide the appropriate course of actions - lots of time-consuming hassle.
    Solution overview
    • Redesign email blast functionality (at first) to track bounces for each contact
    • That information will be easily accessible to admin within the Administrative view
    • Automatically disable sending emails to any contact if a certain number of emails have bounced is reached
    Features   
    • Log number of Hard and Soft bounces for each contact
    • Automatically disable contact's ability to Recieve emails option when a certain number of blasts have happened and notify the admin
    • Automatically reset bounce counters when:
      • admin changes contact's email manually
      • admin enables Receive emails option manually (if it was disabled)
      • if an email is delivered successfully
    •  Advanced search:
      • Add new options for email criteria - with email delivery failures

    This would be very beneficial to us.  The current email bounce reports sent to me are hardly user-friendly, especially if the admin tries to read the report to see the source of the bounce, and also given the fact I get a separate email for every bounce.

    I agree with what you have described above as desired functionality almost completely.  Unless I missed it above, I'd also like to be able to pull up a Bounce Report for each email I send out.

    But the key for me is simply being able to set the number of hard-bounces and soft-bounces that can happen before my contact is automatically disabled from receiving emails.

    This would be very helpful for us as well. I wasn't sure based on your post if this is something that is already in the works, or if you are just thinking about doing it at some future point.

    Since adopting WA our plan has always been to be able to move away from Constant Contact (therefore not having to maintain two member databases and and of course pay twice!!)

    Efficient failed email tracking is a necessity for this to happen.

    As a partner working with an increasing number of Wild Apricot customers, I have to deal with this issue constantly.

    An upgraded eblast and reporting capability would be of immense benefit.

    This plan sounds like a winner to me.

    Hi Cam,

    We are working on this and you should see good progress in our next  update 4.2 - it will include full log of all sent emails. (And handling bounces is planned for subsequent version 4.3)

    I agree fully on the issue of email bounces. We imported a very old database of records, and only recently have been able to slog through the bounces.

    But now, we have found that at times, new members are incorrectly entering their email addresses.

    Before a new member can register (as a member, for an event, etc.) that a confirmatory email be sent with a "click the link" to verify your email?

    I think the question of confirming the emails for each operation is a somewhat different question so I would suggest you start a new thread specifically about that so that we can discuss it with the community.

    Bounded (Bad) E-mail addresses

    Currently these are directed to the organizational contact who then must forward to membership manager.  Membership manager receives only copy of automatic renewal/other message making him think that the email address is ok.

    Should really be directed to Membership Manager.  Option would also be ok.

    In our next version 4.3 we will process bounces in the system and display stats and stop forwarding them altogether.

    How long should I have to wait for the (current 4.2) email bounce back messages to be returned to me after I send out the email blast?  We just went live to our members on Monday (8/29) and I sent out an announcement to all active members who had email addresses on file, some 442 addresses.  I know that some of them are invalid, yet I haven't received anything back.  Unfortunately, I forgot to turn on tracking, so I don't know how many have opened the email.  Still, I should have received some notifications by now, shouldn't I?

    On our end we forward bounces quite quickly, e.g. 1 hour max. However there are some servers which do not bounce replies at all, some bounce them only after 24 hours etc.
