Deleting emails from the sent email list

    Deleting emails from the sent email list

    There is currently no way to delete sent emails from the sent email list.

    This list will therefore get unmanageable very quickly .

    Could you add a button to the sent email page that allows us to delete the selected message?

    Ian, can you elaborate - what do you mean by 'list gets unmanageable'? How many sent emails do you have? What becomes the problem as the list gets longer?

    Dmitry,
    By  "get unmanageable" I only mean that it will get increasingly difficult to find a particular email to use as a template for new ones. It would be good to be able to get rid of all the "dead wood" every now and then.

    Don't therefore need anything too sophisticated, just a simple "delete" button to remove the currently selected sent email would suffice.

    Yes, that would work perfectly - templates that remain templates even after use would negate the need to search back through a long list of previously sent mail.

    Of course it would be useful to be able to delete entries from this template list ;-)

    Manage Sent e-mails list

    Currently
    When an email blast is sent, a record of it is added to the "Sent e-mail" section in the administrator settings. Over time this list can grow, and some people have worried that without a way to manage it, it could eventually grow so large as to become unusable.

    Workaround
    While not perfect, there is a keyword search on the screen where administrators can filer the list and just see the emails that they are interested in.

    Proposal
    Since this list can become large, some have asked for the ability to be able to delete records of e-mails. Each entry in the Sent e-mail would have a delete button associated with them. Clicking this would delete the records of the emails.

    This also means that all of the related work with them, such the ability to reuse the e-mail for future blasts and any of the tracking information associated with them would be lost.

    I would maybe propose a different solution, where old sent e-mails could be archived. There would be an archive button associated with e-mail record and when clicked the e-mail would not appear on the main list, but all their information would remain. Administrators could access them by selecting a 'Show archived e-mails' on the checkbox. If the administrator wanted to restore a message from the archive they could do so on the archived message. (It might also be possible to combine the two in a way similar to how contacts can be archived or deleted).

    I was one of those requesting as a minimum a "delete" button on the sent email list. An "archive" button would be an added bonus as would a "move to template list" button if we are to have an email template system at some point.

    I agree completely.  The ability to archive sent emails would be a great first step in improving the overall email functionality in Wild Apricot

    Frankly I am still struggling to understand what the underlying problem is - why is it need to delete or archive those emails and would appreciate further insight/illustrations.

    The underlying problem (from my perspective) is essentially "tidy inboxes" or in this case "tidy outboxes".

    Because Wild Apricot does not have a simple way to create an email template and then pull that up again and again (e.g. a monthly newsletter template) we are forced instead to go back and re-use previously sent emails.

    Therefore, this comments in this thread are focused on ways to make working with the Sent Emails "folder" simpler/cleaner and more like a template list.  i.e. we would archive or delete all but the essential emails that we will want to pull up in the future.

    That's my take on the issue anyways.

    Thanks for your comment, this does help a lot. We do plan to add email templates capability within a few releases.

    My original reason for asking for "delete" or "archive" options was exactly the same as Kyle has stated above.
    The process of attempting to create attractive/meaningful HTML templates to use for emails has left our sent box riddled with useless emails that just get in the way and hide the "real" ones we want to keep for templates.
    Our admins who create email newsletters are not IT experts and need to be able to quickly and easily find the one they used a couple of months ago so they can re-use it.

    I do concede that when you add email templates "within a few releases", this requirement will be lessened but I still maintain that the ability to delete, archive or maybe organise sent emails into sub folders would be very useful.

    We decided against adding the ability to delete sent emails because it creates all kinds of problems from audit perspective and tech support. 

    (But having templates for emails is definitely in our plans)
