    Enforce mandatory fields during renewal

Each year, we update our membership agreement which is a document linked to a mandatory field. We'd like to clear this check box before renewals so that every member is required to select that they agree to the new agreement.

While it is possible to clear this check box via export / import (set the field to "Unchecked" in the excel file) there is currently no way to force members to check this box first before they renew. During the renewal process members are given the option to either update their profile first or not - those who choose to update their profile will be forced to agree to the new terms, but those who choose not to update their profile can proceed to renew without filling in this field. So basically you can only impose this on members who try to update their profiles.

We were hoping there was an option to mandate that they update their profile either by forcing a radio button or skipping it altogether and going to the profile.

This makes sense, I would appreciate comments from other users.

    Re: Mandatory fields during renewal

This is an awesome idea!!!! It is not totally necessary for us BUT we often change fields to become mandatory in the members' profile or add new ones... those who don't go to the update profile screen upon renewal never see that we are now requiring certain information... and it would help our database SO much to force folks to update periodically.... at least upon renewal!

    Thanks

Force profile update for mandatory fields during Renewal [8077]

When our members renew, we have a form that they are required to fill out in order to process their renewal.  Right now we have all the questions we need answered in the profiles of our members, and we will have to archive those every year and create new ones. It is mandatory that each member update their profile before they renew so that we can get all the information.  If the renewal process could contain a customizable form, that would be great.

Would anyone else use this functionality if it was available?

Yes this is a great idea. We are new to Wild Apricot (since January) and we have not gone through renewal yet but each year we ask members to sign a Release and Indemnity Clause. It is going to be difficult next year if we can't enforce them doing it upon renewal.

     Thanks.

I agree - and would also like to make this request.  Our board would like our members to check a box on the web site each year as they renew & pay dues - confirming that they agree to our code of conduct.

Re: Force profile update for mandatory fields during Renewal

This would be EXTREMELY helpful.  We are a professional organization and our members get to choose if they want to subscribe to journals each year when they renew their memberships.  However, some of our membership are older and will not understand that they MUST choose to update their profile in order to add a journal order to their membership dues.

Please add this soon!  It will make it very clear that they have to decide then and there about the journals.

This would be a great addition.  We have many women members who marry or divorce and change their names and forget to tell us, which causes confusion when they can't find their records.

Putting in another vote for this. This would be very helpful for our organization, as many of our members have incomplete profiles.

We also want to see a forced update of the membership profile on renewal.

    Voting YES on this.

Echoing the problem with name changes/address changes.

More importantly, we have an additional donation field that our members really need to see during renewal.

Re: Enforce mandatory fields during renewal

    Yes, please make this enhancement.

Our organization is a co-op, so we need people to select which volunteer activity they are committing to, each year when they renew. It will likely increase awareness and drive compliance.

Of course we are also using WA to force then to pay their non-coop fee if they do not do their coop duty from the previous year!

Thanks - keep those enhancements coming, you Apricots!

Re: Enforce mandatory fields during renewal

This will be addressed in our next version 4.0 due for release in September.

We have made a change so that members are always taken to their profile during the renewal process (in current version this is optional at member discretion) and thus will be forced to fill out any mandatory fields before renewing.
