    Event E-mails

    Okay so here is another development suggestion,

     

    Wild Apricot has the ability to e-mail those who have registered for an event, which is a very useful tool for our organization when needing to send information to only those contacts that the e-mail would pertain to.

    I would like for that same ability in reverse when sending Blasts about upcoming Events. It would seem to me that there should be an “events e-mail” function that allows us to e-mail all contacts about an upcoming event excluding anyone who has already registered for that event.

    CFC-ASTD has regular Monthly events that I typically start sending out e-mail marketing blast 8 weeks prior to event date to gain registrations. Contacts that have registered early on in the 8-week time frame who continue to receive these blasts get aggravated that they are getting the information weekly for an event they have already registered for (I can't blame them). However I cannot afford not to e-mail weekly, as I need to attract as many contacts as possible to bring in the funds.

    Daniel,

    You should be able to use Advanced search on contacts to exclude people registered for a particular event (Section 'Events related', field 'Event attended'), select the event in question, use "none of selected" option. You can save this search to quickly reuse.

    Check if this addresses your need.

    I believe you are working on being my new best friend. I followed the steps you said and in the list I am getting people in blue like normal and some in gray. I was thinking the ones in grey would be those registered but my list is not matching the registration. Also I notice my results numbers are higher than normal?

     This how I did the Filter, is this right?

     Event Attended - None Of Selected - event (There was not place to put a second "none of Selected" as I read to do in your instructions.

    Nevermind it is working Beautifully, I just started an e-mail using that search to see how many it was going to now send to compaired to this morings blast and yes the numbers make sense. Thanks so much for your help.

    No problem, good to hear.

    BTW, grayed out records are archived ones. You can exclude them using Contact properties filed. I saved an example in Contacts/saved searches in your account.

    This is somehow related, so I didn't want to create a separate thread.

    My organization just started using Wild Apricot, and we're still trying to figure out the event function. We created an event, and we wanted to send email announcement using the email function under events instead of the "email contacts" button under the contacts tab.

    Since we just started the website, most of our contacts are not yet members. When we sent the event announcement, only members received the emails. We thought that all the contacts (including non-members) should have received it, but nada.

    The help page stated "Up to 3 event announcements - send prior to the event to non-registered members / past attendees / donors (based on the options you have selected in the event)", but I'm not sure where these "options" are.

    Any help is appreciated.

    Automatic event reminders can not be currently sent to contact - so you would have to do that manually.

    Is there a way to send automatic event announcement (on set dates) for non-member contacts?

    Currently you can only send automatic announcements to non-members who have attended at least one event or made a donation in the past, but we plan to extend this to all contacts in the future.
