    Delete items from transaction list [4388]

    During our 30 day trial, we put through many transactions as tests:  donations, renewals that were never completed, new membeships that were never paid - people who were just text names.  Now that we have goen live, we want to get rid of all that test data.  We want to delete it and start with a fresh list that is real.

    At present the Archive column supports the options Yes and No. 

    A third option of Delete would be most welcome.

    Gordon, I think you are talking about the contacts/members import. There is no import for transactions - which is the topic of current thread.

    In my mind, providing an option to delete specific transactions (via import or otherwise) is not a good idea from audit trail/accountability standpoint. I think what's needed is two things:

    1) Ability to delete all transactions, e.g. after testing period

    2) Ability to void specific transactions, e.g. to fix mistakes. These should still be accessible in the list but voided in reports etc.

    I'd second the request to delete transactions AT ANY TIME.  We also created test transactions and they are cluttering up our system.  It is not sufficient to allow deleting them solely after testing period.  We deployed -- and then continued testing.

    In some cases, users caused transactions to be created erroneously.

    A related request is to be able to update transactions.  As it is, our online transactions do not represent the true amount of monies paid.

    Re accountability, I think the solution may be to truly delete the financial transaction, but keep an audit trail.

    I agree that deleting at any time is okay as long as there is some kind of audit trail to say what the transaction was, the date it was deleted and who deleted it.  Probably not a big issue to document why, but there needs to be some kind of log.  This log should go way beyond just delete.  I'd like to see audit logs on edits, voids and adds that have been made highlighting what was changed, voided, added and who did it as well.

    Moving to the wishlist.

    There is quite a bit of analysis involved here still - if transactions are removed, what should their originating entities (e.g. member, event) show? I suspect we might need to expand this to general clean up of data when people are converting from trial/test to real usage.

    Our developers are currently at work on developing the ability to archive transactions. They are also planning to be able to restore these transactions is they were archived in error or need to be completed for one reason or another later.

    We are planning to release this with version 3.3, which is expected by the end of 2009

    Sadly, we weren't able to put this into version 3.3. It's a very complex issue, and we want to make sure that we are able to do and test it as thoroughly as possible.

    We are going to keep this on the roadmap in the hopes of being able to add it to one of our future releases.

    We've tagged this issue as being in the Top 50 - the 50 issues we plan to develop over the next 12 months.

    We'll keep you abreast of our analysis  as well as the release date.

    I want to voice my support for the ability to void transactions.  I'm hoping this will be addressed in the financial management overhaul at the end of this summer.

    As noted by others in this thread I have lots of test transactions that have completely muddled up my reports.  And lots of them belong to what are now deleted test contacts meaning I generally can't even fix them by at least cancelling the transaction.

    I also need to delete payment information. We just went live after importing over 2000 records. This generated over $120,000 in "payments". Am I to assume that this function will be available in the release that is now showing postponed to September 2010? Is there a way to delete those records on a database level?

    We are including the ability to delete invoices/payments In our next release, however what exactly does it mean in your particular situation is not clear yet - because we have changed so much stuff in the system. So I would suggest to wait until the release is out and your data is converted into new functionality and then contact our tech support with questions/issues on this.

    It is not possible for us to delete these records manually from the database, sorry.

    This has been redesigned in version 4.0 and now invoices and payments can be deleted.
